- This PAIA manual.
5. Records held, and the laws under which they are kept
We keep records in the following broad categories:
- Client records: quotes, approvals, invoices, booked tasks, outcomes, documents and messages in the client portal.
- Enquiry and sales records: lead and contact-enquiry details submitted through the website.
- Accounting and tax records, kept as South African tax and company law requires.
- Personnel and internal operational records.
- Website measurement records in aggregated, non-identifying form.
Some records are kept because other South African laws require them, including tax, companies and electronic communications legislation. This manual does not list every applicable statute; the list in the Information Regulator's guide applies.
6. How to request access to a record
To request a record that is not freely available on this website:
- Complete Form 02 (Request for access to a record of a private body) from the Information Regulator's website, and email it to streamline@isd.strl.co.za.
- Describe the record clearly enough for us to find it, and state the form of access you want.
- Give us a postal address or email address to reply to, and proof of your identity.
- If you request on someone else's behalf, include proof of your authority to do so.
We will respond within 30 days of receiving a complete request, as PAIA requires, and will tell you if that period is extended as the Act permits.
7. Fees
PAIA allows a private body to charge a request fee and prescribed access fees for searching for, preparing and reproducing a record. The current prescribed fees are published by the Information Regulator. Where a fee applies we will tell you the amount before we process the request. Personal requests for your own information are not charged a request fee.
8. Grounds on which a request may be refused
Access may be refused where PAIA requires or permits it, for example to protect another person's privacy, confidential commercial information, legally privileged material, or the safety of individuals. If we refuse, we will give you written reasons and explain your right to challenge the decision.
9. Personal information we process
The categories of personal information we process, the purposes, the recipients and your POPIA rights are set out in full in our privacy notice, which forms part of this manual as required by section 51(1)(c) of PAIA.
10. Registration and annual reporting
